The following example presents the analysis of an accounting firm's working time. Let us assume that the firm works with clients A, B, C and D. Clients A, B and C always send in their documents on time, electronically, while client D sends them on paper and incomplete – and, on top of that, some extra request arrives from them almost every day. Originally, the service fee was determined based on the number of documents, and we did not really pay attention to how much time serving each client costs us. From this example, however, it is clear that client D costs us much more than client A, B or C. So why do they pay the same amount? Every accounting firm is going through a transformation. Simple invoice-processing functions are increasingly taking a back seat, while financial analytics and tax-related advisory tasks are growing. KELIO Analytics serves to measure these tasks and to show the time spent on a given task.

How does it work?

We can use the system to record working time from a mobile phone, a computer or even one of our smart terminals – we will always see the same interface. Our employees do not simply record when they started the day and when they finished it; when they begin working, they click on one of the predefined buttons, e.g. “I am entering invoices for company A into the accounting system.” When they finish this task and start another one, they simply click on that button (“I am analysing the transfers for company B”), which starts the measurement of the time spent on the new task while the measurement of the previous task is automatically closed. It is also possible to record a workflow that was not predefined – in that case, the employee types in themselves what task they worked on.

Since the system is accessible on any smart device, it makes no difference whether the employee spends their working time in the office or works from home – they can carry out the same administration either way.

At the end of the period, the head of the firm can receive a detailed statistic on which client, on which task, and how much time each colleague spent. Of course, the information can also be viewed in other forms, e.g. aggregated by task, etc.

Why is this good for a service provider?

A modern business must know what it uses its resources for. Not every client relationship is necessarily profitable, and we may want to invoice more for the extra work – but this has to be supported by statistics.
